Performance Administrator

Location: working from the Basingstoke office, with home working on an ad hoc basis

Business area: Facilities Management – Ministry of Justice & Home Office contracts

Contract: full time, permanent,

Kier Places are recruiting now for a Performance Administrator to join our Facilities Management Ministry of Justice & Home Office projects team in Basingstoke, where the main aim of the role will be to support our head of projects, senior administrator and clients in understanding current levels of performance.

Key Responsibilities
As a trusted and focused Performance Administrator, you will take ownership of all internal and external reporting. The role will also include general administration duties where possible to support the senior administrator. This will include tracker and weekly project manager update calls; updating the shared folders, CPA tracker, payments, queries, loaded quotes SLA tracker, and contractor updates relating to completion, delays and mitigations.
Working collaboratively with all stakeholders, you will be client facing & be dealing with escalations; running Concept CAFM reports.

What do we need from you?
The ideal Performance Administrator will be highly organised proactive and independent worker who can work well under pressure with all levels of stakeholders. Having previous experience with Project Management, CAFM and EDMS systems e.g. BIM , Viewpoint, 4Projects, Concept Evolution, would be advantageous – strong Outlook, Word, Excel & SharePoint competence is a must.

Main Responsibilities:

To have an excellent knowledge of One serve, updating, uploading information and adding codes, specifications, orders and closing orders once complete

To ensure the void tracker is updated and void packs are prepared for the client

To liaise with clients to get approval for orders/VO’s

To manage calls, resolve first stage complaints and measure customer satisfaction levels

To co-ordinate sub-contractors and DLO diaries/workload

To liaise with sub-contractors regarding raising PO’s (electrics / works and EPCs and R&D Surveys);

To liaise with the commercial department and chase NIC’s/EPC’s

To take part in meetings, supervision, training as requested by the supervisor

To manage A&A work which includes a recorded tracker

To support planning team with scheduling, P/O’s, client & operative queries & emails when required

To undertake other duties commensurate to the grade of the post

To use information technology systems to carry out duties in the most efficient and effective manner. To achieve personal appraisal targets, as agreed by the line manager

To carry out duties and responsibilities in accordance with the Company’s customer care standards
