Facilities Contract Coordinator

Location: Westminster, London

Business Area: Kier Places – Facilities Management – Government Property Agency (GPA) contract

Contract & hours: Permanent, full time, Monday to Friday, 40 hours per week

Kier Places are recruiting now for a Facilities Contract Coordinator to join our Facilities Management team on our Government Property Agency contract in the Westminster Ministry of Justice & Home Office Cluster portfolio, supporting the dedicated Contract Manager by being the first point of contact, to enable a comprehensive, efficient & effective service delivery of facilities management to a very prestigious group of buildings in Westminster, London consisting of Old Admiralty Building, 3 Whitehall, and 55 Whitehall.

Key Responsibilities

Collaboration is key to being a Facilities Contractor Coordinator with Kier FM – you can expect your day to include liaising with the client, helpdesk, sub-contractors, and operational staff to ensure that reactive and planned maintenance activities are delivered; monitoring maintenance task progress in both client and Kier helpdesks; maintaining work, costs, schedule, compliance & other output trackers; and working with financial systems and information, including Concept CAFM, PowerBI, and Excel.

The main aim of this role is to facilitate & ensure that we react efficiently and effectively in line with the client SLA and KPI’s -ensuring that Helpdesk systems are kept up to date with accurate information; providing generation administration support to the rest of the team, including the running of reports and engineer compliance paperwork; maintaining concise records of all transactions and liaise regularly with client representative for quote approvals.; and undertake any reasonable additional tasks as required.

What do we need from you?

To really make the most of this role, you’ll have experience in a helpdesk, coordination, scheduling or planner roles, in a fast-moving facilities management, customer focused environment; have a great understanding in Microsoft Office, especially Excel, coupled with knowledge of CAFM (e.g. Concept Evolution). IOSH Managing Safety would be bonus, but this is not essential.

You should have the ability to work within a fast-moving environment whilst ensuring accuracy of all data; a good customer service focused manner & ethos; and bring with you high levels of administration skills.
